Wedding seating chart tools, compared honestly
There is no single best tool — it depends on whether you already plan inside a wedding portal, how big your list is, and how much you care about privacy and print quality. Here is what each kind of tool offers, with where we found each fact.
| Tool | What it is | What we found | Source |
|---|---|---|---|
| Zola seating chart | Inside a wedding planning account | Pulls confirmed guests from your Zola guest list; drag-and-drop round and rectangular tables; meal and dietary tags; separate plans for multiple events; print-ready PDF; iOS app. | Zola’s own seating chart page |
| The Knot / WeddingWire | Inside a wedding planning account | Seating tools linked to their guest lists and planners. Couples on their forums report spreadsheets needing reformatting before upload, and occasional saved-chart errors. | WeddingWire forum threads |
| PerfectTablePlan | Desktop software, one-time licence | Guest lists, RSVPs and meal choices; must / must-not sit together rules; automatic assignment; prints plans, place cards and badges; works offline. Capterra lists a starting price of $74.95. | Capterra listing |
| Wedding Studio | Free web builder, print upsell | Builds a floor plan, poster, table cards, guest list and meal sheet from one list. Free PDF exports carry a “Made with Wedding Studio” credit, removed when you order prints. | Wedding Studio template guide |
| SeatPlan.io | Free web tool | No sign-up; drag-and-drop tables; guest list import; templates; PDF export; QR seat sharing. Placement is manual. | Bespoke-Bride roundup (5 Oct 2026) |
| Vesavo | Paid web app, one-time fee by guest count | AI-assisted seating from groups and relationships, plus guest management and QR seat finding. Free up to 50 guests; $27 up to 150; $48 up to 350. | Bespoke-Bride roundup (5 Oct 2026) |
| Printable templates (Etsy, Canva) | Design file you edit | Beautiful designs; you type every name by hand and edit again after each RSVP change. Not connected to a guest list or floor plan. | Our review of the template market |
| Tablewright | Free web app, no account | Paste-anything import that splits couples and plus-ones; to-scale floor plan; households, keep-apart rules and live checks; auto-seat that never moves seated guests; five print styles at poster sizes with no watermark; escort and place cards, table numbers, caterer sheet; reprint only what changed; private seat finder; data stays in your browser. | This site |

How to choose
- Already using Zola, The Knot or WeddingWire for RSVPs? Their built-in tools keep the guest list in one place. Check how they handle late RSVP changes and what the printed output looks like.
- Big list, complex family? Look for households that can’t be split, keep-apart rules and an automatic first draft.
- Care about privacy? Ask where the guest list — including allergies and notes — is stored, and whether you need an account.
- Printing a sign yourself? Check for real poster sizes, no watermark, and whether names update automatically when seats change.
- Working on a phone? Drag-and-drop on a small screen is hard; tap-to-seat is easier.
Questions to ask any tool
- Can I paste my existing spreadsheet, or do I have to reformat it?
- What happens to the sign and cards when a guest changes table?
- Can I recover yesterday’s version if I make a mistake?
- Does the free version watermark exports?
- Where is my guest data stored, and can I delete it?
